BlaBlaNote includes a powerful contact management system that helps you build and maintain your professional network. Track your interactions with each person and never lose context about your relationships.

Overview

The Contacts feature allows you to:

  • Store detailed contact information
  • Track all interactions with each person
  • Set follow-up reminders and cadence
  • Record important dates (birthdays, anniversaries)
  • Monitor relationships over time
  • Import contacts from Google, Outlook, Telegram, or WhatsApp

Creating Contacts

Manual Creation

  1. Go to Contacts in the main navigation
  2. Click + New Contact
  3. Fill in contact details:
    • First Name (required)
    • Last Name
    • Email
    • Phone Number
    • Company
    • Position
    • LinkedIn URL
    • Photo
  4. Click Save

From an Interaction

  1. Open an interaction
  2. Click Link Contact
  3. Click Create New Contact
  4. Enter contact details
  5. The contact will be automatically linked

Import from Integrations

Import contacts in bulk from:

Contact Information

Basic Information

  • Name - First name, last name, and optional alias
  • Email - Primary email and additional emails
  • Phone - Phone number in international format
  • Photo - Profile picture or avatar

Professional Information

  • Company - Organization or employer
  • Position - Job title or role
  • LinkedIn - Link to LinkedIn profile

Custom Fields

Add custom data fields for information specific to your needs:

  • Industry
  • How you met
  • Referral source
  • Any other custom information

Contact Details View

When you open a contact, you'll see:

Profile Section

  • Contact photo and name
  • Company and position
  • Contact methods (email, phone, LinkedIn)

Interactions History

A chronological list of all interactions linked to this contact:

  • Recording title and date
  • Summary preview
  • Click to open full interaction

Tasks

Tasks associated with this contact:

  • Created from linked interactions
  • Tasks with this contact as subject

Important Dates

Tracked dates for this contact:

  • Birthday
  • Anniversary
  • Custom dates with reminders

Relationship Information

  • Relationship type (client, colleague, mentor, etc.)
  • Notes about the relationship
  • First interaction date

Relationship Types

Categorize your contacts by relationship type:

  • Client - Current or potential customers
  • Colleague - Work associates
  • Partner - Business partners
  • Mentor - People who guide you
  • Mentee - People you guide
  • Friend - Personal connections
  • Other - Custom relationship type

Relationship Notes

Add notes about your relationship:

  • How you met
  • Shared interests
  • Key topics discussed
  • Relationship goals

Follow-up Cadence

Stay in touch with important contacts using cadence reminders:

Setting Cadence

  1. Open a contact
  2. Go to Cadence section
  3. Select frequency:
    • Weekly
    • Bi-weekly
    • Monthly
    • Quarterly
    • Custom interval
  4. BlaBlaNote will remind you when it's time to reach out

Cadence Status

  • On track - Recent interaction within cadence period
  • Due soon - Approaching cadence deadline
  • Overdue - No recent interaction, follow-up needed

Important Dates

Track and get reminders for important dates:

Adding Dates

  1. Open a contact
  2. Go to Important Dates
  3. Click Add Date
  4. Select date type:
    • Birthday
    • Work anniversary
    • Custom date
  5. Enter the date
  6. Set reminder preferences

Reminders

  • Receive notifications before important dates
  • Configure reminder timing (1 day, 1 week before)
  • View upcoming dates in your dashboard

Searching and Filtering

Use the search bar to find contacts by:

  • Name
  • Email
  • Company
  • Phone number
  • Any custom field

Filters

Filter your contact list by:

  • Relationship type - Show only clients, colleagues, etc.
  • Company - Filter by organization
  • Tags - Filter by assigned tags
  • Cadence status - Show overdue contacts

Sort Options

  • Name (A-Z or Z-A)
  • Company
  • Last interaction date
  • Date added

Tagging Contacts

Organize contacts with tags:

  1. Open a contact
  2. Click Add Tag
  3. Select existing tag or create new
  4. Add multiple tags as needed

Tag examples:

  • Industry (Tech, Finance, Healthcare)
  • Event (Met at Conference 2024)
  • Priority (VIP, Key Account)
  • Status (Active, Inactive)

Contact Actions

Edit Contact

  1. Open the contact
  2. Click Edit
  3. Modify any fields
  4. Click Save

Delete Contact

  1. Open the contact
  2. Click More options (three dots)
  3. Select Delete
  4. Confirm deletion

WARNING

Deleting a contact will unlink them from all interactions. The interactions themselves are preserved.

Merge Contacts

If you have duplicate contacts:

  1. Open one contact
  2. Click More options
  3. Select Merge with...
  4. Search for the duplicate
  5. Choose which information to keep
  6. Confirm merge

Visiting Card

Each contact can view your digital visiting card if enabled:

  1. Go to Settings > Visiting Card
  2. Enable your visiting card
  3. Share the public link with contacts

Best Practices

Complete Profiles

Fill in as much information as possible:

  • Makes searching easier
  • Provides context before meetings
  • Enables better AI insights

Always link interactions to contacts right after recording:

  • Context is fresh
  • Builds complete history
  • Improves AI suggestions

Use Cadence Consistently

Set appropriate cadence for relationship maintenance:

  • Key clients: Weekly or bi-weekly
  • Important contacts: Monthly
  • Extended network: Quarterly

Regular Cleanup

Periodically review your contacts:

  • Merge duplicates
  • Update outdated information
  • Archive inactive contacts
