Overview

The Calendar feature enables you to:

  • View your Google Calendar or Outlook Calendar events within BlaBlaNote
  • Get AI-generated pre-meeting briefs with contact context
  • Link interactions to calendar events
  • Add event attendees to your contacts
  • Track meetings across your network

Connecting Your Calendar

Before using calendar features, connect your Google or Outlook account:

Google Calendar

  1. Go to Settings > Integrations
  2. Click Connect Google Calendar
  3. Sign in with your Google account
  4. Grant calendar permissions
  5. Select which calendars to sync

  2. Click Connect Outlook
  3. Sign in with your Microsoft account
  4. Grant calendar permissions
  5. Select which calendars to sync

Calendar View

Accessing the Calendar

  1. Click Calendar in the main navigation
  2. View your synced events
  3. Navigate by day, week, or month

Event Display

Each event shows:

  • Title - Event name
  • Time - Start and end time
  • Location - Meeting location or video link
  • Attendees - Who's invited
  • Status - Your response status
  • Today button - Jump to current date
  • Arrows - Navigate forward/backward
  • View toggle - Switch between Day, Week, Month views

Pre-Event Insights

One of BlaBlaNote's most powerful features is AI-generated pre-meeting intelligence.

What Are Pre-Event Insights?

Before your meetings, BlaBlaNote automatically generates a brief that includes:

  • Contact summaries - Key information about attendees who are in your contacts
  • Interaction history - Recent conversations with attendees
  • Key topics - Important subjects discussed previously
  • Action items - Outstanding tasks related to attendees
  • Relationship context - How you know each person

Viewing Pre-Event Insights

  1. Go to Calendar
  2. Click on an upcoming event
  3. View the Pre-Event Insights section
  4. Review before your meeting

When Insights Are Generated

  • Automatically generated for events within the next 24 hours
  • Updated if new interactions are added
  • Available once attendees match your contacts

To maximize pre-event intelligence:

  • Add event attendees to your contacts
  • Link interactions to contacts consistently
  • Keep contact information up to date
  • Record interactions promptly after meetings

Linking Interactions to Events

Connect your recordings to calendar events for complete context:

  1. Create a new interaction
  2. In the details, click Link to Event
  3. Select from recent calendar events
  4. Save the interaction
  1. Open an existing interaction
  2. Click Link to Event in the sidebar
  3. Search for the event by title or date
  4. Select the event to link

  • Event context - Know what meeting the recording is from
  • Attendee info - See who was in the meeting
  • Chronology - Build a timeline of discussions
  • AI intelligence - Improve pre-event insights for future meetings

Managing Attendees

View Attendees

  1. Open a calendar event
  2. See the Attendees section
  3. View names and email addresses

Add Attendees to Contacts

  1. Open a calendar event
  2. Find an attendee not in your contacts
  3. Click Add to Contacts
  4. Fill in additional contact details
  5. Save

This creates a new contact and enables future pre-event insights.

If an attendee matches an existing contact:

  • BlaBlaNote automatically links them
  • Pre-event insights include their information
  • Matching is based on email address

Calendar Sync Settings

Select Calendars

Choose which calendars to sync:

  1. Go to Settings > Integrations > Google or Outlook
  2. Click Manage Calendars
  3. Check/uncheck calendars to sync
  4. Save changes

Sync Frequency

Calendar events sync automatically:

  • Real-time for new events
  • Every 15 minutes for updates
  • Manual refresh available

Privacy Settings

Control what BlaBlaNote can access:

  • Read events - Required for basic functionality
  • See attendees - Needed for pre-event insights
  • Access details - Required for full event information

Calendar Event Actions

View Event Details

Click any event to see:

  • Full description
  • Attendee list with response status
  • Video meeting links
  • Attached files (if supported)

Open in Original Calendar

  1. Click on an event
  2. Click Open in Google Calendar or Open in Outlook
  3. Edit or manage in the original calendar interface

Create Interaction from Event

  1. Click on a calendar event
  2. Click Create Interaction
  3. A new interaction is created and linked
  4. Start recording or add notes

Post-Event Features

After a Meeting

After your calendar event ends:

  1. Open the event in BlaBlaNote
  2. Create or link an interaction
  3. AI generates post-event insights
  4. Review summary and action items

Post-Event Insights

After linking an interaction to a completed event:

  • Meeting summary - AI summary of the discussion
  • Action items - Extracted tasks and follow-ups
  • Key decisions - Important outcomes noted
  • Next steps - Suggested follow-up actions

Troubleshooting

Events Not Syncing

  • Check that Google Calendar or Outlook is connected
  • Verify the correct calendars are selected
  • Try manual refresh
  • Reconnect if issues persist

Missing Attendees

  • Attendee info depends on your calendar provider data
  • Private events may not show attendees
  • Check event permissions in Google Calendar or Outlook

Pre-Event Insights Not Showing

  • Ensure attendees are in your contacts
  • Check that contact emails match attendee emails
  • Allow time for AI processing

Best Practices

Before Meetings

  • Check pre-event insights 10-15 minutes before
  • Review recent interactions with attendees
  • Note outstanding action items

During Meetings

  • Start recording if appropriate
  • Take notes on key points
  • Note any action items mentioned

After Meetings

  • Link recording to calendar event
  • Create tasks for action items
  • Update contact information if needed
