Overview

Tasks in BlaBlaNote:

  • Can be created from interactions or standalone
  • Support priorities and deadlines
  • Link back to source conversations
  • Offer multiple view options
  • Integrate with your workflow

Creating Tasks

From an Interaction

The most powerful way to create tasks is directly from conversations:

  1. Open an interaction
  2. Click Create Task
  3. Fill in task details:
    • Title - What needs to be done
    • Description - Additional context (optional)
    • Priority - Low, Medium, or High
    • Deadline - Due date (optional)
  4. Click Save

The task automatically links to the source interaction, preserving context.

Standalone Tasks

Create tasks independent of interactions:

  1. Go to Tasks in the main navigation
  2. Click + New Task
  3. Fill in task details
  4. Click Save

Quick Add

From anywhere in the app:

  1. Press Ctrl/Cmd + K to open quick actions
  2. Type "new task"
  3. Enter task title
  4. Press Enter to create

Task Properties

Title

A clear, actionable description of what needs to be done:

  • "Call John about proposal"
  • "Send follow-up email to Acme Corp"
  • "Schedule demo with Sarah"

Description

Additional context and details:

  • Notes from the conversation
  • Links to relevant documents
  • Specific instructions

Priority

Three priority levels help you focus:

  • High - Urgent and important, do first
  • Medium - Important but not urgent
  • Low - Nice to have, do when time permits

Priority is indicated by color coding in all views.

Deadline

Set due dates for time-sensitive tasks:

  • Click the calendar icon
  • Select a date
  • Optionally add a specific time
  • Receive reminders as deadline approaches

Origin

For tasks created from interactions:

  • Shows linked interaction title
  • Click to open source conversation
  • Provides context for the task

Task Views

List View

Traditional list format:

  • All tasks in a vertical list
  • Sort by priority, deadline, or creation date
  • Filter by status, priority, or origin
  • Quick checkbox to mark complete

Board View

Kanban-style board:

  • Columns: To Do, In Progress, Done
  • Drag and drop to change status
  • Visual overview of all tasks
  • Great for managing multiple projects

Calendar View

Tasks displayed on a calendar:

  • See tasks by deadline date
  • Visual timeline of upcoming work
  • Identify scheduling conflicts
  • Plan your week effectively

Switching Views

  1. Go to Tasks
  2. Click the view selector (top right)
  3. Choose List, Board, or Calendar
  4. Your preference is saved automatically

Managing Tasks

Mark as Complete

List View:

  • Click the checkbox next to the task

Board View:

  • Drag task to "Done" column

Task Detail:

  • Click Mark Complete button

Edit Task

  1. Click on the task to open details
  2. Click Edit
  3. Modify any properties
  4. Click Save

Delete Task

  1. Click on the task
  2. Click More options (three dots)
  3. Select Delete
  4. Confirm deletion

Change Priority

  1. Open task details
  2. Click the priority indicator
  3. Select new priority level
  4. Changes save automatically

Set/Change Deadline

  1. Open task details
  2. Click the deadline field
  3. Select new date from calendar
  4. Changes save automatically

Filtering and Sorting

Filter Options

  • Status - All, Active, Completed
  • Priority - High, Medium, Low
  • Has Deadline - With deadline, Without deadline
  • Origin - From interaction, Standalone

Sort Options

  • Priority - High to Low or Low to High
  • Deadline - Nearest first or Furthest first
  • Created - Newest first or Oldest first
  • Title - Alphabetical

Saved Filters

Save your frequently used filter combinations:

  1. Set your desired filters
  2. Click Save View
  3. Name your saved view
  4. Access it quickly from the dropdown

Task Notifications

Deadline Reminders

Receive notifications before deadlines:

  • 1 day before deadline
  • On the deadline day
  • Configure in notification settings

Overdue Alerts

Tasks past their deadline trigger alerts:

  • Shown in activity feed
  • Highlighted in task list
  • Daily digest includes overdue tasks

Notification Settings

Customize task notifications:

  1. Go to Settings > Notifications
  2. Find Tasks section
  3. Enable/disable:
    • Deadline reminders
    • Overdue alerts
    • Weekly task digest

Working with Linked Interactions

Viewing Context

For tasks created from interactions:

  1. Open the task
  2. Click View Source Interaction
  3. Review the original conversation
  4. Return to task with full context

From an interaction:

  1. Open the interaction
  2. Scroll to Related Tasks
  3. See all tasks created from this interaction
  4. Click to open any task

Best Practices

Create Tasks Immediately

Don't wait to create tasks:

  • Create during or right after conversations
  • Context is fresh
  • Nothing gets forgotten

Use Meaningful Titles

Write clear, actionable titles:

Good:

  • "Email proposal to Sarah by Friday"
  • "Schedule follow-up call with John"

Bad:

  • "Proposal"
  • "Call"

Set Realistic Deadlines

  • Be honest about timeframes
  • Include buffer time
  • Review and adjust as needed

Review Tasks Daily

  • Check your task list each morning
  • Update priorities based on new information
  • Mark completed items promptly
  • Always link tasks to relevant interactions
  • Provides context when you return to the task
  • Creates a complete audit trail

Use Priority Wisely

  • Not everything is high priority
  • Reserve "High" for truly urgent items
  • Re-evaluate priorities regularly
