Contacts
BlaBlaNote includes a powerful contact management system that helps you build and maintain your professional network. Track your interactions with each person and never lose context about your relationships.

Overview
The Contacts feature allows you to:
- Store detailed contact information
- Track all interactions with each person
- Set follow-up reminders and cadence
- Record important dates (birthdays, anniversaries)
- Monitor relationships over time
- Import contacts from Google, Outlook, Telegram, or WhatsApp
Creating Contacts
Manual Creation
- Go to Contacts in the main navigation
- Open the + menu at the top right and choose New contact
- Fill in what you know:
- First name (required)
- Last name, Alias, Email, Phone number
- Company, Position in company, LinkedIn URL
- Something that you will want to remember — the field no address book has. Where you met, what they are working on, who introduced you. It is what the pre-meeting brief reads back to you months later, when you have forgotten all of it.
- Click Save

From an Interaction
When a transcription names somebody who is not in your contacts, BlaBlaNote offers them rather than creating them:
- Open the interaction
- Go to the Contacts tab
- Find the person under the participants it could not match
- Click Create contact
The new contact keeps the address the meeting gave you, and the tab's count goes up by one. People who were only mentioned in the conversation are listed too, and never offered: the app does not act on a name it merely overheard.

Import from Integrations
Import contacts in bulk from:
Importing eight people from a connected source, and the two already in the list being skipped.
Contact Information
Basic Information
- Name - First name, last name, and optional alias
- Email - Primary email and additional emails
- Phone - Phone number in international format
- Photo - Profile picture or avatar
Professional Information
- Company - Organization or employer
- Position - Job title or role
- LinkedIn - Link to LinkedIn profile
Custom Fields
Add custom data fields for information specific to your needs:
- Industry
- How you met
- Referral source
- Any other custom information
Contact Details View
When you open a contact, you'll see:
Profile Section
- Contact photo and name
- Company and position
- Contact methods (email, phone, LinkedIn)
Interactions History
A chronological list of all interactions linked to this contact:
- Recording title and date
- Summary preview
- Click to open full interaction
Tasks
Tasks associated with this contact:
- Created from linked interactions
- Tasks with this contact as subject
Important Dates
Tracked dates for this contact:
- Birthday
- Anniversary
- Custom dates with reminders
Relationship Information
- Relationship type (client, colleague, mentor, etc.)
- Notes about the relationship
- First interaction date
Pings
Everything that was not a conversation: you saw them, you called, you answered an email, you commented on a post. They live behind Show pings on the interactions tab, with a count, and they are what makes a relationship look like six weeks rather than two meetings.
One person: two conversations six weeks apart, and the four touches in between.
Relationship Tracking
Relationship Types
Categorize your contacts by relationship type:
- Client - Current or potential customers
- Colleague - Work associates
- Partner - Business partners
- Mentor - People who guide you
- Mentee - People you guide
- Friend - Personal connections
- Other - Custom relationship type
Relationship Notes
Add notes about your relationship:
- How you met
- Shared interests
- Key topics discussed
- Relationship goals
Follow-up Cadence
Decide once how often you actually want to speak to somebody, and BlaBlaNote does the remembering.
Setting a Cadence
- Open the contact
- Go to the Networking tab
- Turn on Networking Mode for that contact — the frequencies below become selectable
- Choose one: Weekly, Monthly, Quarterly, Semiannually or Annually
- Pick the day, and write the reason you want to reconnect — that line is what you will read when the reminder arrives, months later, with none of today's context
- Click Save
Next Notification then shows the date you will hear about them, and the contact list shows the cadence beside their name instead of the Reconnect link.

Important Dates
Track and get reminders for important dates:
Adding Dates
- Open a contact
- Go to Important Dates
- Click Add Date
- Select date type:
- Birthday
- Work anniversary
- Custom date
- Enter the date
- Set reminder preferences
Reminders
- Receive notifications before important dates
- Configure reminder timing (1 day, 1 week before)
- View upcoming dates in your dashboard
Searching and Filtering
Search
Use the search bar to find contacts by:
- Name
- Company
- Phone number
- Any custom field
Filters
Filter your contact list by:
- Relationship type - Show only clients, colleagues, etc.
- Company - Filter by organization
- Tags - Filter by assigned tags
- Cadence status - Show overdue contacts
Sort Options
- Name (A-Z or Z-A)
- Company
- Last interaction date
- Date added
Tagging Contacts
Organize contacts with tags:
- Open a contact
- Click Add Tag
- Select existing tag or create new
- Add multiple tags as needed
Tag examples:
- Industry (Tech, Finance, Healthcare)
- Event (Met at Conference 2024)
- Priority (VIP, Key Account)
- Status (Active, Inactive)
Contact Actions
Edit Contact
- Open the contact
- Click Edit
- Modify any fields
- Click Save
Archive Contact
Archiving is the middle option between keeping somebody in the list you scroll every day and deleting them. The history stays; the noise goes.
- Open the contact
- Click Options (three dots)
- Select Archive
A banner then says the contact is archived and hidden from your contact list, with Restore beside it. Nothing is lost: their interactions, tasks, pings and dates are all still there, and they come back exactly as they were.
Archiving somebody you no longer call, without losing a year of history.
Delete Contact
- Open the contact
- Click More options (three dots)
- Select Delete
- Confirm deletion
WARNING
Deleting a contact will unlink them from all interactions. The interactions themselves are preserved.
Merge Contacts
If you have duplicate contacts:
- Open one contact
- Click More options
- Select Merge with...
- Search for the duplicate
- Choose which information to keep
- Confirm merge
Visiting Card
Each contact can view your digital visiting card if enabled:
- Go to Settings > Visiting Card
- Enable your visiting card
- Share the public link with contacts

Complete Profiles
Fill in as much information as possible:

Link Interactions Promptly
Always link interactions to contacts right after recording:
- Context is fresh
- Builds complete history
- Improves AI suggestions
Use Cadence Consistently
Set appropriate cadence for relationship maintenance:
- Key clients: Weekly or bi-weekly
- Important contacts: Monthly
- Extended network: Quarterly
Regular Cleanup
Periodically review your contacts:
- Merge duplicates
- Update outdated information
- Archive inactive contacts
